Professional Training Program Manager

Overview

The Professional Training (PT) Program Manager is responsible for the planning and strategy, logistics coordination, and successful execution of all B3.8 professional training workshops, immersions, and events. This role is responsible for Immersion Workshops from inception to completion, specific to project management, including budgeting, marketing, instructor contracting, participant registration, working with vendors, tracking expenses, and invoicing.

The PT Program Manager also coordinates the Biomimicry Professional (BPro) program, which includes the comprehensive management of six Immersion Workshops over a two-year period for a cohort of select Masters’ students at Arizona State University (ASU) as well as the application process and student communications. Additionally, the PT Program Manager serves as the primary contact for private workshops, gatherings, and company events.

The PT Program Manager collaborates with internal and external stakeholders to drive growth and ensure successful program outcomes. This involves maintaining project ethos, providing 11-star client experiences, supporting fundraising efforts toward viable scholarship funds, and crafting the Professional Training offerings to align with other B3.8 initiatives and strategies.

Details

  • Full-time position, 40 hours/week (salaried, exempt)
    • Some evenings and weekends are required for communicating with participants and instructors leading up to and during event dates.
  • Start date: Flexible but preferably as soon as possible
  • Headquarters located in Missoula, MT (MST)

Compensation

  • Compensation range for this position:
    • $27.90/hour; $58,250 annualized
    • $33.29/hour; $69,250 annualized

Duties and Responsibilities

Program Coordination & Execution (45%)

  • Coordinate logistical details for weeklong workshops in domestic and international locations (approx. 6-8 per year).
  • Develop comprehensive project timelines, logistics, and planning documents for coordinating project team members
  • Coordinate invoicing and logistics for on-sites within the BPro professional training program.
  • Manage participant registrations, communications, and general inquiries.
  • Oversee contractor and vendor coordination for workshops and training events.
  • Track and manage production timelines and ensure deadlines are met for workshop deliverables.
  • Find and vet venues and locations for workshop and event offerings.
  • Support the development of private workshops, customized biomimicry experiences, and workshop offerings in partnership with channel partners.

Financial & Contract Management (20%)

  • Track invoices and manage payments for vendors, contractors, and program participants.
  • Communicate billing details to the public, collaborators, vendors, and contractors.
  • Manage event budgets, ensuring expenses stay within program budgets.
  • Oversee budgeting and cash flow management for the department.
  • Develop and refine internal financial processes to ensure efficiency.
  • Utilize Microsoft Office and QBO for financial tracking and reporting.
  • Work closely with leadership to build project budgets and support financial sustainability.
  • Ensure workshop close-out procedures are finalized, budgets reconciled, and marketing assets compiled.
  • Keep track of scholarships, deposits, and discounts at a program-level.

Marketing & Outreach (20%)

  • Develop and implement strategic marketing initiatives to expand program reach.
  • Create marketing and promotion plans to maximize event participation and/or registration.
  • Develop content for event web pages, creative marketing, and pipeline strategies.
  • Cultivate partnerships and collaborations to enhance program visibility.
  • Manage outreach efforts to attract new participants and maintain engagement, including in the ASU MS in Biomimicry program.
  • Ensure marketing strategies align with broader B3.8 communication efforts.

Strategic Planning & Process Improvement (15%)

  • Identify and implement process improvements to enhance efficiency.
  • Work with leadership to define the strategic direction of the Professional Training program.
  • Develop forward-thinking strategies to leverage B3.8’s training expertise to support new revenue opportunities.
  • Coordinate with leadership and instructors to establish a long-term, sustainable event model.
  • Ensure integration of financial management and programmatic decision-making.
  • Prepare and present project reports highlighting key achievements and areas for improvement.

Qualifications

Skills & Competencies:

  • Strong program coordination and event management experience, including team collaboration.
  • Financial and contract management expertise, including budgeting and invoicing.
  • Excellent organizational, prioritization, and problem-solving skills.
  • Ability to effectively communicate and coordinate with instructors, vendors, contractors, and participants.
  • Experience developing and implementing marketing and outreach strategies.
  • Proficiency in Microsoft Office, QuickBooks Online (QBO), and project management tools.
  • Strong strategic thinking skills with the ability to balance daily operations and long-term planning, including setting priorities and ensuring timely responses
  • Experience in workshop logistics, production timelines, and efficiency tracking.
  • Ability to mitigate risks and ensure smooth execution of international and domestic events, including sensitivity to liabilities and opportunities.
  • Background in financial tracking, cash flow management, and financial forecasting.
  • Experience managing partnerships and marketing collaborations.
  • Knowledge of customer relationship management (CRM) systems for participant engagement.
  • Prior experience in private workshop development and customization.

Education & Experience:

  • Bachelor’s degree in business administration, Education, Marketing, Finance, Nonprofit Management, or a related field (Required).
  • Master’s degree in business, Organizational Development, or a related field (Preferred but not required).
  • Equivalent work experience in professional training, financial management, or program coordination may be considered in place of a degree.
